Privacy Policy

This policy explains what personal data Gamma Recruitment collects, why, how long we keep it and the choices you have. It applies to candidates, client contacts and visitors to gammarecruitment.com. Our job board, JobGamma, has its own privacy policy.

1. Data we collect

Candidates

Identity and contact details: name, email address, phone number, city and country, LinkedIn URL.
Your CV and the information in it: work history, education, skills, and any salary or preference details you give us.
Preferences you set: target titles, locations and, for Career Services, the plan chosen.
Records of our contact with you, interview feedback and the roles you were presented for.

Client contacts

Name, work email, phone, company and role details submitted with a vacancy brief or used for the client portal.
Portal activity needed to run the Engagement (profiles viewed, feedback given, documents uploaded).

Website visitors

Only essential technical data needed to serve the site securely. We do not use advertising or tracking cookies and do not run third-party analytics scripts on this site.

2. How we use personal data

To assess candidates for vacancies we are recruiting for and to present them to clients with their agreement.
To run client Engagements, the client portal and Career Services.
To communicate about enquiries, roles, interviews and offers.
To invoice clients and Career Services customers.
To keep the Services secure and to comply with legal obligations.

Our legal bases are the performance of a contract or steps taken at your request before a contract, our legitimate interest in operating a recruitment business, your consent where we rely on it (for example, before presenting you to a client), and legal obligations.

3. Sharing

Clients: a candidate's profile is shared with a client only for a specific role and only after the candidate has agreed to be presented for it.
Service providers: email delivery for one-time sign-in codes and service messages. These providers process only the data needed to send the message.
Authorities: where required by law.

We do not sell personal data. We do not send identifying candidate details to third-party AI or analytics providers; where automated tools help us screen, the text is first stripped of names, contact details and locations and processing takes place on our own infrastructure.

4. Storage and security

CVs, profiles and client data are stored on servers we control, with access restricted to our team. Sign-in to the client portal uses one-time codes; we do not store passwords. Uploaded files are scanned for size and type and kept only on our own storage.

5. Retention

Candidate registrations and CVs: for as long as you remain registered with us, and for up to 24 months after our last contact, so we can consider you for future roles; earlier on request.
Client Engagement records: for the duration of the Engagement and for 7 years afterwards for accounting and legal purposes.
Vacancy briefs and enquiries that do not become Engagements: 12 months.
Career Services accounts: for the subscription period and 12 months after.

6. Your rights

You may ask to access, correct, export or delete your personal data, withdraw consent, or object to processing based on legitimate interests. Write to contact [at] gammarecruitment.com; we respond within 30 days. Where deletion is requested, a short retention period may apply for backups and audit records. You may also complain to the data-protection authority in your country.

7. International transfers

We recruit for roles in several countries. Candidate data is shared with a client in another country only for a role you have agreed to be considered for. Our systems are hosted in data centres we control; where any transfer outside your country occurs we apply appropriate safeguards.

8. Cookies

The site sets only essential cookies: a session cookie for the client portal after sign-in. No consent banner is needed because no optional cookies are used.

9. Children

The Services are not intended for anyone under 18 and we do not knowingly collect their data.

10. Changes and contact
